Schedule: Part-time, approximately 20-25 hours per week

Position Overview
We are looking for an organized, dependable and detail-oriented Restaurant Office Manager / Bookkeeper to manage the day-to-day administrative and financial functions of our restaurants.
This is a part-time position with flexible daytime scheduling. We understand that the right candidate may be looking for hours that work around school schedules, family responsibilities or other commitments. A schedule such as 9:00 AM-2:00 PM, 10:00 AM-3:00 PM, or a four-day workweek could all be considered. We are flexible about what the schedule looks like; our priority is finding the right person who can establish and maintain a consistent, predictable weekly schedule.
Responsibilities
Daily
- Record daily restaurant sales
- Reconcile cash, credit card transactions and Toast financial activity
- Retrieve and process mail
- Prepare and make bank deposits
- Verify petty cash and bar drawers
- Collect and organize invoices
- Scan invoices into ExtraChef and post transactions to QuickBooks
- Maintain accurate and organized financial records
- Track and properly categorize expenses, including food and beverage COGS and restaurant supplies
- Manage payroll
- Review employee timecards for accurate punches, hours and corrections
- Account for employee tips and overtime
- Coordinate cash needed for tip distribution
- Review inventory reports for accuracy and compare COGS with Toast reporting
- Track and manage employee PTO
- Manage accounts payable
- Process and pay weekly vendor invoices
- Organize and file paid invoices
- Monitor liquor vendor invoices and payment terms, including 45-day payments
- Compare bank and credit card statements with the general ledger to identify discrepancies or errors
- Prepare basic financial and operational reports
- Assist with preparation and review of Profit & Loss (P&L) reports
Monthly
- Tie out and reconcile monthly statements
- Prepare and pay Massachusetts meals tax
- Reconcile all bank statements and accounts
- Ensure financial records are complete and accurate for month-end reporting
Qualifications
- Previous bookkeeping, office management, accounting or administrative experience
- Strong attention to detail and accuracy
- Experience with payroll, accounts payable and financial reconciliations preferred
- QuickBooks experience strongly preferred
- Restaurant or hospitality experience is a plus
- Experience with Toast and/or ExtraChef is a plus
- Strong organizational and time-management skills
- Comfortable learning new systems and processes
- Ability to work independently and manage recurring responsibilities without constant supervision
- Ability to identify discrepancies and follow through until they are resolved
- Reliable, trustworthy and comfortable handling confidential employee and financial information
