Job summary

Small Door is expanding its veterinary network and seeks a Facilities Manager to support day-to-day operations across multiple clinics, partnering with practice teams, regional ops, vendors and landlords.

The ideal candidate is highly organized and proactive, capable of coordinating sites, managing maintenance, and guiding capital projects while ensuring seamless operations and excellent pet care.

Qualifications

• 3–5+ years of facilities management experience, ideally multi-site.
• Experience in veterinary, healthcare, retail, or multi-location environments preferred.
• Experience with CMMS, vendor management, and preventive maintenance.
• Knowledge of HVAC, plumbing, electrical, and fire/safety systems.
• Experience budgeting proposals and small capital projects.
• Strong organizational, communication, and problem-solving skills.
• Ability to prioritize high-volume facilities needs across locations.

Responsibilities

• Manage day-to-day facilities operations across an assigned portfolio.
• Triage and manage facilities requests, escalations, and emergency repairs.
• Manage work orders, preventive maintenance, and facility information via CMMS.
• Coordinate third-party facilities partners, contractors, and local vendors.
• Review proposals, scopes, pricing, and invoices; track spending against budget.
• Coordinate with landlords and property managers on repairs and responsibilities.
• Conduct site visits and assessments to identify needs.
• Manage preventative maintenance programs for HVAC, plumbing, electrical, life-safety.
• Identify recurring issues and recommend repairs or capital solutions.
• Coordinate smaller capital projects and practice refreshes.
• Partner with Development and Operations on capital planning and priorities.
• Maintain clear communication with practice teams on issue status.
