Job description

HealingUS Centers is currently seeking a highly organized and detail-oriented Office Administrator to join our team. As an Office Administrator, you will play a crucial role in ensuring the smooth operation of our office and providing support to our staff and clients.

Responsibilities include:
  1. Managing office operations, including maintaining supplies, coordinating appointments, and managing mail
  2. Assisting with administrative tasks such as data entry, filing, and document preparation
  3. Booking, coordinating, and preparing rooms for consultations and meetings, and maintaining calendars
  4. Answering phone calls and responding to inquiries professionally
  5. Greeting and assisting clients and visitors
  6. Keeping waiting areas and front offices clean and presentable
  7. Coordinating meetings and events
  8. Performing receptionist, clerical, and administrative duties as required
  9. Contributing to a positive team environment
  10. Providing support to the Behavioral Health Services department
  11. Handling client check-in procedures and maintaining confidentiality per HIPAA policies
  12. Participating in trainings and in-service sessions
  13. Assisting with administrative reviews and audits
  14. Performing other duties as assigned
Minimum Requirements:
  • High school diploma or equivalent
  • Previous office administration experience preferred
  • Excellent organizational and multitasking skills
  • Strong attention to detail
  • Proficiency in Google Suite
  • Excellent communication and interpersonal skills
  • Ability to work independently and collaboratively
