Job summary

Mount Kemble Search Group is seeking a Customer Service Administrator for an onsite role in Westford, MA. You will serve as the primary contact for customers, vendors, and internal manufacturing teams, processing orders, coordinating quotes, and maintaining documentation to ensure timely deliveries.

You will manage ERP-based order processing, inventory coordination, and portal maintenance, while communicating delivery changes and handling returns or vendor issues.

Qualifications

• 5-10 years of customer service experience in a manufacturing environment.
• Job shop experience preferred but not required.
• Strong communication and interpersonal skills.
• Excellent organizational skills and attention to detail.
• Ability to work independently with minimal supervision.
• Proficiency with ERP systems and Microsoft Office applications.
• Professional demeanor with a commitment to quality, ethics, and customer service.

Responsibilities

• Respond to customer inquiries and requests for quotes.
• Coordinate the quote process and share completed quotes to customers.
• Enter and process customer orders with accuracy and adherence to specifications; prepare and send order acknowledgements.
• Coordinate customer and vendor deliveries and pickups with production and shipping teams.
• Manage blanket orders, forecasts, programs, and inventory release schedules.
• Maintain customer drawings, specifications, and document revisions.
• Communicate with vendors about order status, quality concerns, and service issues.
• Inform customers of delivery changes or delays.
• Process customer returns and vendor rejections.
• Enter inventory and production transactions into the ERP system.
• Set up new customer accounts and maintain customer records.
• Assist with order expediting and production tracking.
• Manage customer portals, including document uploads and account maintenance.
• Support production meetings and general administrative functions.
• Answer incoming phone calls and direct inquiries appropriately.
