Job summary

Macchinisti is seeking a Service Coordinator & Dispatcher in Austin, TX to manage technicians, customers, and schedules across the service operation. You will build efficient daily routes, balance urgent vs. planned work, and ensure all details are executed with precision.

The role focuses on proactive communication with the team and clients, optimizing drive times, and coordinating parts and installations while maintaining up-to-date customer information and service records.

Qualifications

• Experience in field service dispatching or service coordination.
• Strong scheduling, logistics, and problem-solving skills.
• Excellent communication with technicians and customers.
• Experience with Service Fusion or similar software is a plus.
• Coffee or specialty coffee industry experience is a plus but not required.

Responsibilities

• Schedule and dispatch field service technicians using Service Fusion.
• Build efficient schedules that minimize drive time and downtime.
• Monitor schedules and adjust as jobs run long or priorities change.
• Communicate regularly with technicians and coordinate changing priorities.
• Answer customer inquiries via phone, email, texts, and voicemails with professional service.
• Schedule service calls and maintain accurate customer and job info.
• Identify scheduling conflicts and potential issues before they occur.
• Coordinate parts, equipment, and materials for upcoming work.
• Assist with invoicing and preventive maintenance scheduling.
