Position Summary

Serent is seeking an experienced Lead Executive Assistant to provide dedicated, high-level support to the firm's partners and senior leaders based in our Austin office. This is a role for someone who has operated at the executive support level and brings sound judgment, discretion, and the ability to anticipate needs before they are asked.

Beyond direct executive support, this person will help keep the Austin office running smoothly, manage a small administrative team, oversee facilities and office services in Austin, and own firm-wide projects and productivity initiatives. Successful candidates will be organized, detail-oriented, emotionally mature, and resourceful, with strong collaborative instincts and a solutions-first mindset. They will lead by example, demonstrating poise under pressure, discretion with confidential information, and an unwavering commitment to excellence.

Key Responsibilities
  • Manage complex calendars for supported executive(s), scheduling meetings on their behalf, proactively resolving conflicts, and prioritizing based on firm impact.
  • Ensure supported executives are prepared with all materials and information for meetings, events, and interviews.
  • Coordinate travel arrangements and logistics; prepare, submit, and track expense reports.
  • Maintain documents on appropriate file servers and repositories.
  • Greet clients, visitors, and internal contacts; set up meetings and manage refreshments as needed.
  • Assist deal teams in executing documents that require an executive signature.
  • Handle occasional personal tasks (generally less than 20% of total time; focus may shift throughout the year).
  • Maintain the highest level of confidentiality and discretion in all aspects of the role, protecting sensitive information.
  • Directly manage two administrative direct reports, setting clear expectations, providing day-to-day guidance, and conducting regular check-ins to keep the team effective and well-supported.
  • Serve as backup to the Administrative Team Lead, and provide backup coverage for administrative colleagues as needed.
  • Contribute to Admin Team initiatives and proactively collaborate with colleagues to recommend the most effective and efficient way to complete tasks, incorporating AI tools where applicable.
  • Apply and share knowledge gained about work processes, resources, and structure with colleagues.
  • Provide input on hiring, onboarding, and performance feedback for direct reports, and coordinate coverage and workload to ensure consistent support during absences or time off.
Austin Facilities & Office Services
  • Oversee facilities and office services for the Austin office, ensuring vendors, building management, and IT/facilities keep the space running smoothly.
  • Oversee office supply, equipment maintenance, conference room, and general workspace standards, delegating day-to-day execution to the administrative team.
  • Serve as a point of contact for visiting partners, colleagues, and guests to the Austin office.
  • Support firm leadership and People/Operations on larger office initiatives, such as events, space planning, and office moves or buildouts for the Austin location.
Firm-Wide Projects & Productivity Initiatives
  • Own at least one firm-wide project each year, such as planning the LP meeting or driving the internal reviews process.
  • Collect and compile firm-wide data as needed.
  • Identify, evaluate, and help roll out AI tools and office technology that improve the efficiency of the administrative team and broader firm operations.
  • Support and, where appropriate, lead internal initiatives—such as firm planning processes, operational reviews, and event coordination.
Qualifications
  • 5–8 years of experience as an Executive Assistant or Senior Executive Assistant, with a strong track record supporting C-suite executives, Managing Partners, or other senior leadership.
  • Prior experience in a high-performance, fast-paced industry (financial services, private equity, consulting, legal, or professional services) is preferred.
  • Prior people-management experience preferred; ability to lead and foster a collaborative, high-performing culture.
  • Strong written and verbal communication skills, with professional presence across all organizational levels.
  • Exceptional organizational skills, with a talent for managing competing priorities and shifting schedules.
  • Able to function professionally under pressure while managing multiple concurrent projects and deadlines.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Zoom, and other office technology tools.
  • Hands-on experience with AI workflows and tooling, and genuine enthusiasm for adopting new AI capabilities to streamline administrative and firm operations.
  • Experience in office management, facilities coordination, or vendor management.
  • Strong sense of urgency, adaptability, and resourcefulness.
  • High emotional intelligence, discretion, and commitment to confidentiality; handles sensitive situations with tact and good judgment.
  • Positive, team-oriented mindset; approaches both new and routine tasks with enthusiasm.

Education: BA/BS degree preferred, but not required given relevant experience.
