Job summary

Hazen and Sawyer, a Raleigh-based environmental engineering firm, is seeking an Accounts Receivable Coordinator. The role supports daily cash receipts, check deposits, and subconsultant payments in a hybrid in-office/remote setting.

The ideal candidate has at least one year in AR or related accounting, strong Excel skills, and the ability to manage high-volume, detail-oriented tasks with clear communication to PMs and clients.

Qualifications

• At least one year of experience in accounts receivable, cash application, or a related accounting support role.
• Comfort handling a large volume of transactions and numerical data.
• Ability to organize daily work, meet recurring deadlines, and follow procedures.
• Clear verbal and written communication with Project Managers and other contacts.
• Dependable and careful with a willingness to ask questions when needed.
• Proficiency with Microsoft Excel and other Microsoft 365 applications.

Responsibilities

• Process high-volume cash receipts and check deposits accurately and timely.
• Assist with subconsultant payments and verify amounts billed vs. received.
• Maintain W-9 and ACH enrollment documents for new subconsultants.
• Help move remittances to electronic funds transfer and document accordingly.
• Investigate routine cash receipt issues and escalate complex discrepancies.
• Respond to PMs, clients, and staff regarding balances and payments.
• Keep audit trails for deposits and payment activity; assist with monthly/quarterly reporting.
• Work overtime during month-end or busy periods as needed.
