Qualifications

• High School Diploma or GED.
• 2-4+ years of related experience in a mechanical, electrical, or plumbing service field.
• Bachelor’s degree may be considered in lieu of work experience.
• Experience working with HVAC Technicians (preferred).
• Experience with Astea and/or any other service tracking software.
• Proficient knowledge of Microsoft Office Suite.

Responsibilities

• Schedule and dispatch technicians for startups, repairs, warranty, and maintenance.
• Route customer inquiries to the appropriate resource.
• Track time and attendance for technicians.
• Coordinate startups and keep customers informed about scheduling and progress.
• Invoice and bill customers.
• Assist in local office AP/AR and ensure payments are received.
• Coordinate warranty administration, parts orders, and shipments.
• Answer phones and greet customers professionally.
• Assist new hires with onboarding paperwork and HR forms.
• Maintain OSHA logs.
• Enter data into ERP including work orders and technician hours.
• Ensure timely close-out on work orders and file related paperwork.
• Gather local prevailing wage data and report hours for PW jobs.
• Maintain filing for office equipment.
• Provide initial notification of Workers Compensation claims.
