Job summary

BGIS in Hudson, FL is seeking a Scheduling Coordinator to provide dedicated support for inspection scheduling, communicating with HVAC Installation Managers and tracking inspection activities. The ideal candidate will have a high school diploma or equivalent, 1.5+ years of relevant experience, familiarity with municipal processes, and strong communication skills.

Qualifications

• High school diploma or equivalent.
• 1.5 years of experience in inspections, construction administration, project coordination, facilities management, permitting, or related field.
• Experience working with municipalities, authorities having jurisdiction, contractors, and project teams.
• Ability to take initiative and proactively reach out to multiple contacts in the inspection process.
• Strong verbal and written communication and interpersonal skills with professional approach.
• Teamwork mindset to handle complex tasks and multiple priorities.
• Proficiency in Microsoft applications including Excel, Outlook, Teams, Word, and PowerPoint.

Responsibilities

• Serve as primary point of contact for Commercial HVAC inspection related activities throughout the permit life cycle.
• Communicate with municipalities, contractors, project managers and internal stakeholders to ensure timely approvals and permit closures.
• Coordinate for repeat inspections and provide detailed information to field support and managers; alert managers of any failed inspections.
• Assist with permit tracking, document collection and municipal follow-up.
• Perform data entry and system updates reflecting status of inspection scheduling tasks.
• Provide regular updates and reports tracking average timelines for completion.
• Ensure compliance with health, safety, and environmental protocols.
