• 1–2+ years in administrative or coordinator roles.
• Experience in HVAC/home services or skilled trades preferred.
• Experience with ServiceTitan or similar field service software preferred.
• Strong organizational and communication skills.

Responsibilities

• Coordinate HVAC installation schedules by aligning technician availability and customer preferences.
• Review jobs, permits, financing and materials to ensure readiness before installation.
• Manage equipment ordering, deliveries, and site requirements for efficient execution.
• Serve as primary contact, providing timely updates and managing customer expectations.
• Collaborate with sales, dispatch, warehouse, permitting and accounting teams.
• Maintain accurate job records and closeout documentation in company systems.
• Coordinate permits, inspections, rebates and financing paperwork.
• Identify and resolve scheduling conflicts, shortages, and site challenges.
• Review completed projects for paperwork, signatures, photos, and invoices.
