Express Employment Professionals’ Specialized Recruiting Group partners with a respected HVAC services company on the southside of Indianapolis to hire a Dispatcher & Project Planner who will coordinate service operations, technician scheduling, and customer service activities.

Qualifications

• Previous experience in dispatching, scheduling, customer service, administrative support, or a related role preferred.
• Strong verbal and written communication skills.
• Excellent customer service and relationship-building abilities.
• Computer savvy with the ability to quickly learn new software systems.
• Strong organizational and time management skills.
• Proven problem-solving ability and attention to detail.
• Ability to remain professional and calm when handling upset customers.
• Team-oriented mindset with the ability to collaborate effectively with others.
• Experience with Foundations CRM is a plus but not required.

Responsibilities

• Answer inbound phone calls and provide exceptional customer service to customers, vendors, and other visitors.
• Greet and assist individuals visiting the office, including vendors and business partners.
• Dispatch HVAC technicians to customer job sites and adjust schedules as needed.
• Coordinate technician schedules to ensure all assignments are finalized by the afternoon prior to the workday.
• Learn project planning processes, including forecasting manpower requirements and project durations.
• Collaborate with management and field personnel to ensure proper staffing levels for projects.
• Monitor schedules and communicate updates, changes, or delays efficiently.
• Assist in resolving customer concerns and de-escalating challenging situations professionally.
• Utilize the company's CRM system to manage customer and scheduling information.
• Support daily office operations and contribute to continuous process improvement.
