Job summary

Cloud Comfort HVAC in the South Bay Area of California is seeking an HVAC Customer Service & Appointment Coordinator to be the primary contact for customers and the field team. You will answer calls, schedule, and confirm appointments, and keep CRM records accurate while communicating with technicians and dispatchers to keep the day running smoothly.

The role requires strong communication, organizational skills, and a customer-focused approach.

Qualifications

• A minimum of 1 year of experience in customer service, administration, customer support, or a call center environment.
• Strong written and verbal communication skills.
• A professional, approachable, and customer-focused manner.
• Excellent organizational skills with the ability to juggle multiple tasks and priorities.
• The ability to stay composed, helpful, and solutions-focused during busy periods.
• Comfort working with computers, CRM systems, and new technology.
• Strong attention to detail and reliable follow-through.
• A collaborative attitude and the ability to communicate effectively with coworkers.
• Bilingual English/Spanish skills are strongly preferred.

Responsibilities

• Professionally answer incoming calls and assist customers with a positive, helpful approach.
• Book, coordinate, and confirm HVAC service appointments.
• Respond quickly to website inquiries, emails, Yelp requests, social media messages, and other online communications.
• Provide customers with information about HVAC services, promotions, maintenance plans, and scheduled appointments.
• Help customers with general inquiries and straightforward service-related questions.
• Accurately enter and update customer details and service information within the CRM.
• Coordinate with technicians and dispatchers to support efficient scheduling and communication.
• Follow up with customers regarding upcoming appointments and completed service visits.
• Address customer concerns professionally and calmly, escalating issues when necessary.
• Work collaboratively with the wider team and contribute to a supportive workplace.
