Job summary

ALTEK, Inc. in the United States seeks an HR Assistant to support daily HR operations and accounting tasks.

Working closely with the HR Manager and Controller, you will help maintain accurate records, communicate with employees, and ensure adherence to company policies. This role covers front desk support, recruitment coordination, onboarding, HR records, benefits invoicing, and basic accounts payable/receivable tasks, contributing to a compliant and efficient workplace.

Qualifications

  • High school diploma or GED required.
  • Minimum of three years of experience in Human Resources, Administration, or a related field.
  • Front desk, reception, or customer service experience preferred.
  • Working knowledge of recruiting, onboarding, personnel records or HR administrative processes.
  • Familiarity with FMLA, PFML and workers' compensation processes preferred.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Experience with HRIS, payroll, or accounting systems a plus.
  • Strong interpersonal, written, and verbal communication skills.
  • Attention to detail with the ability to maintain accurate records and documentation.
  • Ability to handle confidential employee and financial information with discretion.
  • Strong organizational skills and ability to prioritize multiple tasks.

Responsibilities

  • Greet guests and direct inquiries; schedule conference rooms, interviews, meetings, and company events.
  • Coordinate in-office meals and reception activities; provide general administrative support to HR Manager and other departments.
  • HR Duties: coordinate recruiting activities, onboarding, and candidate communications.
  • Maintain employee personnel files and HR records; confidential handling of information.
  • Assist with employee leave administration and coordination with employees and supervisors.
  • Support Labor & Industries (L&I) administration and OSHA 300 recordkeeping.
  • Administer training records within QT9 Quality Management System; support performance review processes.
  • Prepare HR reports and compliance records.

Job description

SUMMARY: The HR Assistant supports the daily operations of the Human Resources department and performs a various accounting and administrative duties. Working closely with the HR Manager and the Controller, this role helps support the business by maintaining accurate records, communicating with employees and ensuring compliance with company policies and procedures.

RESPONSIBILITIES:
  • Reception and Administrative Support:
  • Serve as the first point of contact for visitors, vendors, and employees
  • Greet guests and direct inquiries appropriately
  • Schedule conference rooms, interviews, meetings, and company events as requested
  • Coordinates in-office meals and reception activities as requested
  • Provides general administrative support to the HR Manager and other departments as needed
Human Resources Duties:
  • Coordinates recruiting activities including posting job openings, scheduling interviews and coordinating candidate communications
  • Assists with onboarding activities including preparing new hire paperwork, coordinating background checks and screenings, scheduling orientation, and ensuring all required documentation is completed
  • Maintains employee personnel files and HR records while ensuring confidentiality and accuracy
  • Assists with employee leave administration, including tracking leave requests, maintaining documentation, and coordinating with employees and supervisors
  • Supports Labor & Industries (L&I) administration, including workers' compensation claims, Stay at Work program participation, Retro program documentation, and OSHA 300 recordkeeping
  • Administers employee training records and maintains documentation within the company's Quality Management System (QT9)
  • Supports employee performance review processes and other HR initiatives
  • Prepares HR reports, documentation, and compliance records as requested.
  • Maintains confidentiality of employee information and personnel records
Accounting Job Functions:
  • Completes daily customer invoicing and other routine accounting activities.
  • Assists with Accounts Payable and Accounts Receivable, or any other special accounting projects as assigned.
  • Reconciles monthly Benefit Invoices against monthly enrollment reports
  • Adapts and modifies as circumstances warrant
  • Builds and maintains positive rapport, communication and behavior with other Altek employees, management and customers/vendors
  • Demonstrates safe work habits

QUALIFICATIONS:

  • Associate or Bachelor’s degree in Human Resources, Business Administration, or related field a plus
  • Minimum of three years of experience in Human Resources, Administration, or a related field
  • Previous front desk, reception, or customer service experience preferred
  • Working knowledge of recruiting, onboarding, personnel records or HR administrative processes and employment practices
  • Familiarity or exposure to leave administration (FMLA, PFML, etc.), Labor & Industries (Workman’s Comp) processes preferred
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Experience with HRIS, payroll, or accounting systems a plus
  • Exceptional interpersonal, written, and verbal communication skills
  • Strong attention to detail with the ability to maintain accurate records and documentation
  • Ability to handle confidential employee and financial information with discretion
  • Strong organizational skills with the ability to prioritize and manage multiple tasks
  • Exceptional interpersonal, written, and verbal communication skills with the ability to interact professionally with employees at all levels
  • Self-motivated with the ability to adapt and work independently
