Job summary

Berklee College of Music is seeking a part-time HR Student Assistant to provide front desk reception and information services on campus in Boston. The role supports HR operations year-round, including summer availability, with a Wednesday (10am-4pm) preference and some Thursday/Friday coverage.

Responsibilities include greeting visitors, handling documents (I-9, background checks), and assisting with enrollment, mailings, and records management.

Responsibilities

  • Assist with collecting new hire documents including I-9 and background checks.
  • Support open enrollment preparation, verification, and audits.
  • Manage immigration (I-9) files and benefits mailings.
  • Support general HR projects and other duties as assigned.

Job description

In order to participate in Berklee Student Employment, a student must fulfill the following requirements: Current student at Berklee College of Music or Boston Conservatory at Berklee. Enrolled at least half-time in a degree, diploma, or certificate-seeking undergraduate or graduate program. Summer is the only semester in which a student can maintain employment without being enrolled. In this case, the student must be pre-registered for the upcoming fall semester. This exception does not apply to fall or spring semesters. Have a valid United States Social Security Number (SSN). Remain in “valid” Visa status as applicable. A minimum 2.0 cumulative GPA. Students in their first semester can work, even though they do not have an official GPA until the completion of their first semester. Federal Work Study student may apply. In good disciplinary standing. Must be located in the U.S.

Under the general direction of the Human Resources Coordinator, the HR Student Assistant is responsible for providing front desk support as the receptionist. This includes greeting visitors, answering the front desk phone, and providing information and referrals. The HR Student Assistant is responsible for providing excellent customer service and helping to establish a professional and friendly atmosphere. This is an all-year position which includes summer availability.

Requirements

Must be available on Wednesdays (preferably between 10am-4pm), as well as some availability on Thursdays and Fridays.

Duties and Responsibilities
  • Providing front desk coverage to ensure customers are waited on in a professional and timely manner.
  • Handling copying, filing, and shredding of documents as needed.
  • Assisting with the collection of new hire documents, including background checks and I-9 forms.
  • Assisting with open enrollment preparation, verification, and audit projects.
  • Assisting with monitoring and maintaining immigration (I-9 form) files.
  • Collating benefits packages, handling bulk mailings, and delivering documents.
  • Other duties and special projects as assigned.
Qualifications
  • Office and projected management experience required.
  • Self-motivated and reliable, has the ability to handle a high volume of workflow, can balance projects and individual responsibilities, and enjoys working in a team environment.
  • Must demonstrate the ability to use discretion in handling a high level of confidentiality.
  • Requires a high level of attention to detail, strong organization, communication, and interpersonal skills.
  • Positive attitude and commitment to customer service required.

Hourly Rate: $16.45
