Job summary

Secretariat Advisors LLC is seeking a Billing Analyst to join our growing global firm in Chicago, IL or Houston, TX. You will coordinate all client invoicing activity in a timely, accurate manner across multiple entities and currencies.

Responsibilities include preparing and distributing monthly bills, reviewing contracts for billing terms, tracking invoice activity, and supporting A/R reporting. A background in accounting/finance and strong communication are essential.

Qualifications

• 2–3+ years of professional cash application and collections.
• Undergraduate or Associate degree in Accounting or Finance preferred.
• Strong knowledge of accounts receivable function and standards.
• Attention to detail and data entry accuracy.
• Strong Microsoft Office skills (Word, Excel).
• Experience with Workday or similar ERP systems.
• Strong written and verbal communication skills.
• Experience in a professional services environment, preferably a law firm.
• Familiarity with Time & Expense contracts and multi-party billing.

Responsibilities

• Prepare, compile and distribute monthly bills to clients for services in a multi-entity, multi-currency global environment
• Review contracts and engagement letters to verify client guidelines, billing rates and fee arrangements
• Track all invoice activity and maintain records and reports
• Communicate with clients, vendors and leadership including MDs, CFO and accounting team
• Review accounts and balances for inconsistencies
• Input incoming payments and revise open invoices
• Assist with A/R reporting and collections as needed
• Issue credit memos and account for discounts, split billing and multi-party invoicing
• Set up new clients and engagements in the accounting system
• Provide timely solutions and answers as issues arise
• Assist Finance & Accounting team for close, audits, and board meetings
