Job summary

Shafer Services Plus is a leading residential HVAC and plumbing company in San Antonio seeking a Full-Time Dispatcher to coordinate daily dispatch operations for technicians and plumbers. You will schedule service calls, manage real-time adjustments, and provide excellent customer service to homeowners.

You will communicate with field staff, answer calls, and ensure accurate work orders and scheduling updates.

Qualifications

• High school diploma or GED required.
• At least 1 year of contact center or related experience in a service-based environment.
• 2+ years of dispatching experience preferred, ideally in residential HVAC or plumbing.
• Experience using ServiceTitan dispatching or field service management software strongly preferred.
• Ability to type accurately at 40 to 45 words per minute.
• Proficiency in Microsoft Word, Excel, and Outlook.
• Strong organizational and multitasking skills for multiple service calls and schedules.
• Ability to prioritize emergencies and adapt schedules quickly.

Responsibilities

• Coordinate daily dispatch operations for residential HVAC service technicians and plumbers, assigning service calls based on location, availability, technician skills, and job priority.
• Manage technician schedules and adjust for emergencies, cancellations, delays, and last-minute appointments.
• Answer inbound customer calls, schedule HVAC and plumbing service appointments, and deliver professional customer service.
• Communicate work orders, customer details, and scheduling updates to field service technicians.
• Keep homeowners informed about arrival windows, delays, and appointment changes.
• Make outbound calls to confirm appointments and schedule preventive maintenance visits.
• Use dispatching software to maintain accurate schedules and customer records.
• Coordinate with warehouse staff, vendors, and technicians to ensure parts/equipment are available.
• Review invoices and job details for accuracy while assisting with balances.
• Identify opportunities to improve dispatch efficiency and customer satisfaction.
• Participate in rotating on-call schedule including evenings, weekends, and holidays.
• Work on-site at the San Antonio office.
