Front Desk & Customer Service Coordinator
Responsibilities
Customer Service & Front Desk
- Answer incoming phone calls and respond to customer inquiries.
- Welcome customers who visit our showroom.
- Respond to emails, text messages, and other customer communications.
- Provide professional and friendly customer service.
- Gather information about customer projects and make sure the right team member receives it.
CRM & Office Administration
- Enter and maintain accurate customer and project information in our CRM.
- Create and update customer records.
- Upload documents, artwork, photos, and other project information.
- Keep customer and job information organized and up to date.
- Coordinate information between sales, production, installation, and customers.
Sales Support
- Assist the sales team with preparing quotes and proposals.
- Request missing information, measurements, photos, artwork, or approvals from customers.
- Follow up with customers regarding open quotes.
- Maintain accurate follow-up records in the CRM.
- Make sure leads and quotes don't fall through the cracks.
Scheduling & Job Coordination
- Help schedule installations and customer appointments.
- Confirm installation dates with customers.
- Follow up on customer approvals and missing information.
- Help communicate changes between customers, sales, and production.
Payments & Administrative Support
- Accept customer deposits and payments.
- Process payments through our payment system.
- Assist with QuickBooks and CRM data.
- Help follow up on outstanding customer information and payments.
- Perform general filing and administrative duties.
Qualifications
Required:
- Excellent verbal and written communication skills in English.
- Strong customer service skills.
- Excellent organization and attention to detail.
- Comfortable using computers and learning new software.
- Ability to manage multiple tasks and priorities.
- Reliable, responsible, and proactive.
- Strong follow-through—you don't need someone constantly reminding you what to do.
Preferred:
- Previous administrative or customer service experience.
- CRM experience.
- QuickBooks experience.
- Sales or sales-support experience.
- Experience with scheduling or office coordination.
- Experience working in a small business environment.
Sign-industry experience is NOT required. We will train you on our products and processes.

If a customer is waiting for an answer, you follow up.
If a salesperson is missing information, you help obtain it.
If a quote needs follow-up, you make sure it happens.
If production needs information, you help make sure they have it.
Your job is to help make sure nothing falls through the cracks.
Starting pay: $20–$23/hour depending on experience and qualifications.
We also offer the opportunity for a performance-based bonus.
As you learn our systems and demonstrate that you can independently manage the front-office and customer-service workflow, there is an opportunity to grow into a higher-level Office & Customer Experience Coordinator/Manager role.
