We're looking for a Customer Service & Administrative Coordinator to help streamline communication, support daily operations, and deliver an exceptional experience to our customers across sales, service, and installation.
This is a hands-on, hybrid role combining customer service, office administration, CRM management, and financial coordination — perfect for someone who enjoys variety in their day and being the go-to support hub for a growing team.
Job SummaryIn this role, you’ll support the Sales, Customer Service, and Installation departments to ensure smooth operations, effective team communication, and a superior customer experience. It requires strong organizational skills, attention to detail, and the ability to multitask across various systems, processes, and teams.
Key Responsibilities- Maintain and update CRM systems with accurate data and documentation
- Re-engage and follow up on leads provided by project managers
- Prepare, send, and submit contracts, credit card authorization forms, and financial documents to clients and accounting
- Collect and input customer information related to service claims and communicate updates to managers
- Answer phones, transfer calls, take messages, and provide outstanding customer service
- Greet and assist walk-in clients and phone inquiries with professionalism and warmth
- Schedule and confirm showroom appointments, estimates, and installations
- Confirm installation dates and provide updates throughout the project lifecycle
- Send post-installation communications, including care instructions, feedback/review requests, and warranty documents
- Coordinate service calls and updates in collaboration with the installation department
- Track and respond to service emails and ensure timely customer follow-up
- Support general office duties including maintaining an organized workspace
- Assist coworkers and departments during peak times or with collaborative projects
- Help with accounts receivable for specific customers; process incoming payments accurately
- Ensure all financial documents are completed and routed properly
- Attend team meetings and product trainings to stay current on procedures and offerings
- Learn basic product knowledge to support customer questions confidently
- Bonus/commission potential for closing follow-ups or self-generated leads
Qualifications- 3+ years of experience in a customer service or administrative support role (required)
- Proficient in CRM tools and accurate data entry (required)
- Strong attention to detail and time management skills
- Bilingual in English and Spanish is a plus
- Confident, clear communicator – both written and verbal
- Positive, solution-oriented mindset and adaptability to changing priorities
- Team-oriented but able to work independently and take initiative
