Job summary

Estes Express is seeking a detail-oriented Shipping/OS&D Clerk in Phoenix, Arizona. The role focuses on high-volume billing, paperwork preparation, and delivery scheduling for OS&D freight, with emphasis on accuracy and customer communication.

Responsibilities include maintaining records, resolving discrepancies, handling claims, and supporting dispatch with customer inquiries and tracing shipments. Must pass pre-employment screens and work effectively in a fast-paced environment.

Qualifications

• High School Diploma or GED or equivalent background.
• Experience in billing, collections, tracing & OS&D preferred.
• Computer skills; proficient in MS Word and Excel required.
• AS400 experience strongly preferred.
• Strong customer service skills.
• Good clerical skills.
• Excellent verbal and written communication and listening skills.
• Ability to work regular tasks with occasional direction and escalate questionable cases.

Responsibilities

• Answer telephones with a heavy call volume and direct calls with accuracy
• Maintain count list of items received or shipped and check against bill of lading, recording any discrepancies
• Prepare all paperwork and the repackaging of all OS&D freight
• Maintain accurate records to report OS&D freight issues to Service Center management
• Maintain a clean and organized OS&D area
• Contact customers and coordinate delivery times to schedule freight delivery
• Identify freight bills requiring special delivery instructions
• Respond to customer inquiries regarding bill of lading and provide proof of delivery to customers
• Respond to customer complaints concerning billing or services, and refer to designated departments for investigation and follow-up
• Investigate, resolve, and respond to inquiries regarding overages, shortages, and damaged freight issues (Hazmat included)
• Verify and process paperwork concerning claims, charges and tracing of freight
• Scan and/or image bill of lading receipts
• Transfer information from bill of lading to bill format to prepare bills for freight movement
• Prepare bills for freight movement, applying tariffs and charges
• Place shipments on-hand
• Assist with handling dispatch phones for customers and drivers
• Regular attendance is required
• May perform other duties as assigned by management
