Job summary

NorthStar Energy Solutions, LLC, headquartered in Grand Prairie, TX, is hiring a Fleet Coordinator to support day-to-day coordination of fleet assets, rental equipment, vehicles, trailers, tools, and specialty resources used in utility construction. The role partners with fleet leadership, project teams, vendors, and field operations to plan, document, and track needs in a timely, cost-effective manner.

Qualifications

• High school diploma or GED required; associate degree or related training preferred.
• Experience in fleet operations, dispatch, logistics, or related field is preferred.
• Understanding of construction equipment, vehicles, trailers, and rental processes.

Responsibilities

• Coordinate fleet asset, rental equipment, vehicle, trailer, tool, and specialty equipment needs for projects.
• Receive, document, and process fleet-related requests from project managers and field leadership.
• Track equipment assignments, job numbers, locations, and readiness status.
• Support delivery, pickup, transfer, staging, and movement coordination with vendors and teams.
• Maintain fleet records, vendor information, POs, delivery tickets, and related files.
• Communicate with vendors and internal teams to resolve equipment availability, delays, billing, or documentation issues.
• Confirm equipment is safe, functional, compliant, and ready for jobsite needs.
• Monitor open rentals, utilization, and fleet movement to optimize costs and availability.
• Update fleet data in ERP, dispatch, telematics, and other tracking systems.
• Assist with monthly fleet and rental reporting, cost tracking, and budget control.
• Coordinate with vendors on sourcing, quotes, and approved rental orders.
• Ensure activities follow policies, approvals, safety requirements, and vendor agreements.
