Job summary

Big Truck Rental LLC is seeking a Fleet Maintenance Coordinator to manage repair needs with our dealer network and ensure clear communication between customers and BTR. You will work with the VP and Logistics sales teams to support account needs, coordinate service partners, prepare repair orders, and keep customers informed about progress and charges.

This role requires a details-oriented communicator with industry knowledge and the ability to work after hours when priorities demand.

Qualifications

• High School Diploma/GED required.
• Experience in Fleet Maintenance/Logistics preferred.
• Experience with Terminal Tractors preferred.
• Strong written and verbal communication skills.

Responsibilities

• Record customer data and track service requirements.
• Communicate with customers to understand vehicle problems and needs.
• Write repair orders describing condition and required repairs.
• Coordinate with service partners/dealers for timely work at proper rates.
• Estimate time required for repair or maintenance work.
• Update customers on the status of their rental repairs as expected.
• Explain work performed and charges to the customer at end of repair.
• Follow up with customers to ensure satisfaction and resolve issues as needed.
• Maintain knowledge of latest industry trends and best practices.
• Flexibility to work on priority tasks after hours as needed.

Position Overview:

The position of the Fleet Maintenance Coordinator will be responsible for working with our dealer network to manage repair needs/requests for select customers and ensure communication between the customer and BTR is clear and consistent. Additionally, the position will work with the VP and Logistics sales teams to support customer needs and help evolve account needs and expectations.

Key Responsibilities:

• Record customer data and keep track of their service requirements
• Communicate with customers to understand their vehicle problems and needs
• Write repair orders, describing the vehicle's condition and the repairs or services required
• Coordinate with service partners/dealers to ensure timely completion of work at the proper rate
• Estimate time required for repair or maintenance work to provide to the customer
• Update customers on the status of their rental(s) that are being repaired as expected
• Explain the work performed and the charges (if any) to the customer at the end of repair
• Follow up with customers to ensure satisfaction and resolve any issues as needed
• Maintain knowledge of the latest industry trends and best practices
• Flexibility to work on priority tasks after hours as needed

Qualifications:

• High School Diploma/GED
• Proven work experience as a Fleet Maintenance Coordinator, or similar role in the Logistics/Supply Chain industry supporting Terminal Tractors
• Attention to detail and excellent problem-solving skills
• Excellent written and verbal communication skills to work with a diverse customer base and internal team
• Disciplined and strong ability to work in an independent environment
• Adequate use of software applications such as Word, Excel, PowerPoint, etc. Salesforce and Sage Intacct are preferred
