Job Overview

We are seeking a highly organized and detail-oriented File Coordinator to manage, organize, maintain, and process company documents and records. The ideal candidate will ensure files are accurate, accessible, properly organized, and maintained according to company procedures. This position may be performed on-site or off-site, depending on business needs.

Responsibilities
  • Organize and maintain electronic and physical files and records.
  • Create, update, categorize, and archive documents according to established procedures.
  • Review files for accuracy, completeness, and proper documentation.
  • Enter and update information in databases, spreadsheets, and document-management systems.
  • Scan, upload, rename, and organize electronic documents.
  • Retrieve files and documents when requested by authorized personnel.
  • Track incoming and outgoing documents and maintain file inventories.
  • Identify missing, duplicate, or inaccurate information and coordinate corrections.
  • Maintain appropriate filing systems and ensure documents are stored securely.
  • Assist with document preparation, copying, printing, and distribution.
  • Follow company policies for document retention, confidentiality, and record management.
  • Maintain confidentiality of sensitive company, customer, and employee information.
  • Coordinate with administrative and other departments regarding document requests.
  • Assist with audits, records reviews, and routine data-management activities.
  • Perform other administrative and clerical duties as assigned.
