Job summary

Bill Alexander Ford Lincoln is seeking an Assistant Facilities Manager on a full-time contract to support the Facilities Manager in overseeing daily operations, maintenance, safety, and facility performance on-site in Buffalo, NY. You will coordinate maintenance, manage vendors, inspect facilities, and help drive cost-effective, safe, and efficient workplace practices.

The role requires organizational and multitasking skills, strong communication, and experience coordinating contractors.

Qualifications

• Bachelor's degree preferred in facilities management or related field.
• 3+ years of facilities management or related experience.
• Knowledge of facility operations, preventive maintenance, and safety practices.
• Experience coordinating contractors and service providers.
• Proficiency with Microsoft Office and work-order systems.
• Certifications such as FMP/CFM/IFMA preferred but not required.

Responsibilities

• Assist with daily management and operation of company facilities and workspaces.
• Support maintenance schedules and operational procedures.
• Coordinate preventive and corrective maintenance for building systems and equipment.
• Conduct facility inspections and address maintenance, safety, and operational issues.
• Coordinate with vendors and service providers for repairs and maintenance.
• Monitor contractor work to meet quality and safety standards.
• Assist with facility budgets, invoices, and service contracts.
• Maintain records for maintenance, inspections, assets and vendor services.
• Support moves, space planning and facility improvement projects.
• Respond to employee facility-related requests promptly and professionally.
• Ensure compliance with workplace safety policies and regulations.
• Assist with emergency preparedness and business continuity.
• Monitor inventory and purchase facility supplies and services.
• Support energy efficiency and cost-reduction initiatives.
• Prepare reports on maintenance activities and facility performance.
• Step in to support or represent the Facilities Manager when needed.
