Job summary

Richmond University Medical Center is seeking an Administrative Supervisor to oversee daily Facilities Department operations in a day shift environment. You will manage records, coordinate vendors, and prepare leadership communications in a healthcare setting.

Required are 3–5 years in administrative supervision, plus an Associate degree. Experience in healthcare or facilities management is preferred, with strong MS Office skills and vendor coordination abilities.

Qualifications

  • Minimum 3-5 years of administrative or office supervisory experience.
  • Experience in a healthcare, hospital, facilities management, engineering, or maintenance environment preferred.
  • Previous supervisory experience preferred.

Responsibilities

  • Supervise and coordinate daily office operations within the Facilities Department.
  • Ensure accurate recordkeeping of maintenance, repair, and compliance documentation.
  • Prepare reports, presentations, and correspondence for department leadership.
  • Monitor work order requests and ensure timely assignment and completion.
  • Process purchase orders, invoices, and payment requests.
  • Track expenditures and maintain financial records.
  • Coordinate procurement of supplies, equipment, and contracted services.
  • Serve as primary administrative contact for vendors and contractors.
  • Maintain vendor contracts, insurance certificates, and service agreements.
  • Coordinate department schedules, on-call rosters, and vacation calendars.
  • Maintain employee records, certifications, and training documentation.

Day Shift - 7.5 Hours (United States of America)

  • Supervise and coordinate daily office operations within the Facilities Department.

Education

Physical Requirements
  • Ability to sit, stand, walk, and use office equipment for extended periods.
  • Ability to occasionally lift up to 20 pounds.
  • Ability to travel throughout the hospital campus as needed.

Shift: M-F 8a-4p

Salary Range: $32.725/hr. -$34.287/hr.
