Job summary

Richmond University Medical Center in the United States is seeking a Day Shift administrative supervisor to oversee daily office operations within the Facilities Department. You will maintain records for maintenance, repair, and compliance, and prepare reports for department leadership.

You will monitor work orders, process purchase orders and invoices, track expenditures, coordinate supplies and contracted services, and serve as the primary contact for vendors and contractors.

Qualifications

  • Associate degree or higher preferred in Business Administration, Healthcare Administration, Facility Management, or related field.
  • Minimum 3–5 years of administrative or office supervisory experience, ideally in a healthcare or facilities environment.

Day Shift - 7.5 Hours (United States of America)

Responsibilities
  • Supervise and coordinate daily office operations within the Facilities Department.
  • Ensure accurate recordkeeping of maintenance, repair, and compliance documentation.
  • Prepare reports, presentations, and correspondence for department leadership.
  • Monitor work order requests and ensure timely assignment and completion.
  • Process purchase orders, invoices, and payment requests.
  • Track expenditures and maintain financial records.
  • Coordinate procurement of supplies, equipment, and contracted services.
  • Serve as primary administrative contact for vendors and contractors.
  • Maintain vendor contracts, insurance certificates, and service agreements.
  • Coordinate department schedules, on-call rosters, and vacation calendars.
  • Maintain employee records, certifications, and training documentation.
Education
  • Associate degree in Business Administration, Healthcare Administration, Facility Management, or related field preferred.
Experience
  • Minimum 3–5 years of administrative or office supervisory experience.
  • Experience in a healthcare, hospital, facilities management, engineering, or maintenance environment preferred.
  • Previous supervisory experience preferred.
Physical Requirements
  • Ability to sit, stand, walk, and use office equipment for extended periods.
  • Ability to occasionally lift up to 20 pounds.
  • Ability to travel throughout the hospital campus as needed.

Salary Range

$32.725/hr. -$34.287/hr.
