Responsibilities

  • Manages contracted facilities services including building systems and clinical engineering.
  • Oversees CMMS data quality and reporting of KPIs to leadership.
  • Administers facility permits and regulatory documentation.
  • Maintains hospital Facility Information System with floor plans, warranties, and capital plans.
  • Supports budgeting and monthly variance analyses for facilities services.
  • Liaises with Hospital and Academic Departments to address campus issues.
  • Supports records for TJC, IDPH, OSHA and other authorities.
  • Performs regular rounds and safety inspections of facilities and projects.
  • Implements preventive and predictive maintenance strategies.
  • Prepares financial and operational reports for accountability.
  • Negotiates and reviews vendor service contracts.

Pay Range:

$45.59 - $66.16 per hour

Summary:

The Facilities Manager supports the Director, Facilities Management in the administration of the program to manage the day-to-day facility operations and maintenance of the buildings and the various mechanical, electrical, plumbing and utility systems which support it. The Facilities Manager will also support management and administration of related facilities services, including but not limited to parking & transportation and clinical engineering. The Facilities Manager will directly oversee contracted operations in the assigned service areas; ensuring that contracted vendors deliver on contract requirement and provide for a great patient and staff experience. This position will be responsible for annual budgets and monthly variance comments as it relates to these service lines and ensuring that these services meet or exceed expectations in their service delivery. Coordinates minor construction and renovation programs. Must possess positive customer service skills and problem-solving ability.

Required Job Qualifications:
  • At least 3 years of experience in facilities management, construction trades or related field
  • High school graduation or equivalent
  • Experience in vendor contract management
  • Experience managing and maintaining a CMMS.
  • Must be proficient in MS Word and MS Excel .
  • Must demonstrate excellent written and oral communication skills.
  • Ability to analyze problems and adopt an effective course of action
  • Demonstrated experience dealing with customer service issues.
Preferred Job Qualifications:
  • 5 to 7 years of experience in facilities management, construction trades or related field.
  • Experience working in healthcare facilities management or related field.
  • Management experience.
  • College degree

Responsibilities:
  1. Manages the contracted services for facilities; these may include system service agreements such as building automation, pneumatic tube system, overhead paging system, infant abduction security, door access controls, parking & transportation and clinical engineering.
  2. Manages the Computerized Maintenance Management System (CMMS) and implements various measures to control and clean data, making improvements to extract and report key performance indicators for key leader understanding.
  3. Manages the facilities related permit program ensuring that internal & external permit activities are completed timely, and permits & fees are paid on time.
  4. Manages the hospital “Facility Information System” to ensure timely accessibility and updates to information such as floor plans, warranties, permit inventories, capital plans, regulatory documentation and other critical facility management information.
  5. Supports the Director, Facilities Management in managing the maintenance and operations contracted service.
  6. Acts as liaison with Hospital and Academic Departments for campus wide issues.
  7. Supports the organization, audit and administration of all required records for TJC, IDPH, OSHA and other Authorities Having Jurisdiction.
  8. Performs regular rounding and inspection of all facilities and on-going projects to ensure safety, compliance and quality.
  9. In close support of the Department Director, implements preventive and predictive maintenance strategies and practices
  10. Provides regular financial and operations reports to demonstrate fiscal and quality accountability.
  11. Responsible for outside vendor contract negotiation and review of miscellaneous facilities related service contracts
  12. Reviews monthly financial statements, prepares budgets, and responds to monthly budget variances related facilities management.
  13. Responds to facilities emergencies at all hours with poise and problem-solving nature – working quickly to solve problems.
  14. Acts as liaison to Safety, Security, EVS and Food & Nutrition Services.
  15. Acts as liaison to Finance Department. Prepares check request, purchase orders and other documents as needed to execute on service contracts for facilities.
  16. Responsible for hiring, training, developing, counseling, as well as evaluating and managing the performance of direct reports.
  17. Other duties as assigned
