Job Description
We are seeking an experienced, highly organized, and proactive Talent Acquisition Coordinator to provide high-level coordination support for a fast-paced Talent Acquisition team, with a strong focus on executive and senior-level candidate interviews.
This individual will be responsible for managing complex, high-touch interview scheduling and coordinating the recruitment process for executive-level candidates. The role will partner closely with recruiters, executive leadership, hiring managers, HR, and candidates to ensure a seamless, professional, and highly responsive hiring experience.
The ideal candidate has experience supporting senior-level or executive recruiting, is comfortable coordinating multiple calendars and stakeholders, and can navigate shifting priorities with professionalism and discretion. This role requires exceptional attention to detail, strong judgment, and the ability to independently manage sensitive and confidential recruiting activities.
Key Responsibilities
- Manage complex, high-volume interview scheduling for executive, leadership, and senior-level candidates across multiple stakeholders and time zones.
- Coordinate interviews involving executive leaders, hiring managers, recruiters, HR partners, and other key stakeholders.
- Proactively manage and resolve scheduling conflicts, calendar changes, last-minute adjustments, and competing priorities.
- Serve as a primary point of contact for candidates throughout the interview process, providing timely communication and delivering a polished, high-touch candidate experience.
- Partner closely with recruiters and hiring leaders to understand interview requirements, timelines, and stakeholder availability.
- Coordinate virtual, onsite, panel, and multi-stage interviews while ensuring all participants have the appropriate information and materials.
- Maintain accurate and up-to-date candidate information within Oracle Recruiting Cloud (ORC) and other recruiting systems.
- Coordinate candidate referrals, disposition activities, interview feedback, and pre-employment processes.
- Support offer and onboarding activities by coordinating communications and ensuring a smooth transition from candidate acceptance through start date.
- Prepare recruiting-related documents, correspondence, reports, presentations, and interview materials.
- Monitor recruiting timelines, compliance requirements, and critical deadlines to ensure processes remain on track.
- Handle sensitive and confidential candidate and executive information with a high degree of discretion.
- Serve as a resource for recruiters, hiring managers, and internal stakeholders regarding recruiting processes and scheduling.
- Assist with recruiting events, executive candidate meetings, and job fairs as needed.
- Support recruiting reporting, analytics, presentations, and special Talent Acquisition projects.
- Build strong relationships with senior-level stakeholders and provide exceptional customer service throughout the recruitment process.
- Take ownership of additional recruiting coordination and administrative initiatives as assigned.
Qualifications
- 3+ years of experience in Talent Acquisition Coordination, Recruiting Coordination, Executive Recruiting Coordination, Executive Assistant, or a related role supporting complex scheduling.
- Demonstrated experience coordinating interviews for senior-level, executive, or leadership candidates.
- Proven ability to manage complex calendars and coordinate multiple senior-level stakeholders simultaneously.
- Experience working directly with recruiters, Talent Acquisition teams, hiring managers, and/or executive leadership.
- Experience managing high-volume scheduling while maintaining a high level of accuracy and candidate service.
- Strong ability to prioritize and independently manage multiple competing deadlines in a fast-paced environment.
- Experience supporting candidates through the interview, offer, and onboarding process.
- Strong proficiency in Microsoft Office Suite, including Outlook and Teams.
- Experience with Oracle Recruiting Cloud (ORC), Oracle ATS, or similar Applicant Tracking Systems preferred.
- Experience with Indeed or other online recruiting platforms preferred.
- Bachelor's degree in Human Resources, Business, or a related field preferred but not required.
- Exceptional organizational skills and attention to detail.
- Excellent verbal and written communication skills with the ability to communicate professionally with candidates and senior leadership.
- Demonstrated ability to handle confidential and sensitive information with discretion.
- Proactive, resourceful, and comfortable operating with a high degree of ownership.

- Ability to influence, coordinate, and communicate effectively across teams without direct authority.
