Qualifications

  • 3–5+ years of executive assistant experience, ideally within financial services, professional services, or a similarly fast-paced environment.
  • Strong proficiency in Microsoft Office Suite and Google Workspace.
  • Exceptional written and verbal communication skills.
  • Highly detail-oriented with strong organization and time management abilities.
  • Ability to anticipate needs, think critically, and operate with a high degree of autonomy.
  • Professional, polished, and comfortable working in a high-touch, executive-facing role.
  • Bachelor's degree preferred.
  • Must be comfortable with 24/7 availability and responsive to urgent requests outside of normal business hours.

Responsibilities

  • Manage complex calendaring, scheduling, and meeting coordination across multiple time zones.
  • Handle all travel arrangements, including flights, hotels, ground transportation, and detailed itineraries.
  • Screen and prioritize emails, calls, and correspondence.
  • Prepare and edit presentations, reports, and briefing materials.
  • Track deadlines, project timelines, and deliverables across the marketing department.
  • Coordinate internal and external meetings, including agenda preparation and follow-up on action items.
  • Liaise with internal teams, vendors, and external partners on behalf of the executive.
  • Assist with event planning and coordination for marketing initiatives and team functions.
  • Handle confidential information with the utmost discretion.

Compensation: $100,000 – $150,000
