Job summary

The Private Equity Firm in Los Angeles seeks an Office Administrator/Office Manager/Executive Assistant to support the investment team and oversee day-to-day office operations with discretion and efficiency.

The ideal candidate is polished, proactive, highly organized, tech-savvy, and able to balance executive support, travel planning, expense processing, and vendor coordination in a fast-paced environment.

Qualifications

  • 3+ years of administrative, office management, or operations experience.
  • Private equity, venture capital, investment banking, financial services, consulting, or professional services experience strongly preferred.
  • Bachelor's degree preferred.
  • Excellent organizational, communication, and interpersonal skills.
  • Professional, polished, and service-oriented.
  • Strong Microsoft Office skills, particularly Outlook, Word, PowerPoint, and Excel.

Responsibilities

  • Provide administrative support to senior investment professionals.
  • Manage calendars, meetings, conference rooms, and domestic/international travel.
  • Prepare presentations, reports, meeting materials, and correspondence.
  • Process expenses, invoices, and credit card reconciliations.
  • Coordinate office vendors, supplies, facilities, and building management.
  • Assist with new-hire onboarding, events, lunches, and office activities.
  • Coordinate with portfolio companies, investors, attorneys, consultants, and other outside contacts.
  • Assist with research, special projects, and operational initiatives.
  • Maintain confidential information and provide backup support to the team as needed.

Our client, a highly respected private equity firm, is seeking a polished, proactive, and highly organized Office Administrator/Office Manager/Executive Assistant to support the investment team and help oversee the day-to-day operations of the office.

This is an excellent opportunity for someone who enjoys a fast-paced, professional investment environment and can balance executive support, office operations, and special projects. The ideal candidate is resourceful, detail-oriented, technologically savvy, and highly discreet.

Key Responsibilities:
  • Provide administrative support to senior investment professionals
  • Manage calendars, meetings, conference rooms, and domestic/international travel
  • Prepare presentations, reports, meeting materials, and correspondence

  • $100,000–$110,000 base + discretionary bonus
  • Typical bonus: 10–20%
