OFFICE ADMINISTRATOR / OFFICE MANAGER / EXECUTIVE ASSISTANT

Our client, a highly respected private equity firm, is seeking a polished, proactive, and highly organized Office Administrator/Office Manager/Executive Assistant to support the investment team and help oversee the day-to-day operations of the office.
This is an excellent opportunity for someone who enjoys a fast-paced, professional investment environment and can balance executive support, office operations, and special projects. The ideal candidate is resourceful, detail-oriented, technologically savvy, and highly discreet.
Key Responsibilities:
- Provide administrative support to senior investment professionals
- Manage calendars, meetings, conference rooms, and domestic/international travel
- Prepare presentations, reports, meeting materials, and correspondence
- Process expenses, invoices, and credit card reconciliations
- Coordinate office vendors, supplies, facilities, and building management
- Assist with new-hire onboarding, events, lunches, and office activities
- Coordinate with portfolio companies, investors, attorneys, consultants, and other outside contacts
- Assist with research, special projects, and operational initiatives
- Maintain confidential information and provide backup support to the team as needed
Qualifications:
- 3+ years of administrative, office management, or operations experience
- Private equity, venture capital, investment banking, financial services, consulting, or professional services experience strongly preferred
- Bachelor's degree preferred
- Excellent organizational, communication, and interpersonal skills
- Exceptional attention to detail and sound judgment
- Professional, polished, and service-oriented
- Strong Microsoft Office skills, particularly Outlook, Word, PowerPoint, and Excel
- Comfortable with technology and AI-enabled productivity tools
- Proactive, self-directed, and willing to pitch in wherever needed
- $100,000–$110,000 base + discretionary bonus
- Typical bonus: 10–20%
