About The Role
The Executive Assistant is the operational backbone for the leadership team, running calendars, communications, and logistics so executives can stay focused on product, customers, and strategy.
The role matters because execution speed at a growing technology company depends on coordination: meetings run on time, travel works, decisions get follow-up, and nothing falls through the cracks.
Key Responsibilities
- Manage complex, dynamic calendars for 2-3 senior leaders, resolving conflicts and protecting focus time across multiple time zones
- Book and manage domestic and international travel, including flights, hotels, ground transport, and visa or expense documentation
- Prepare meeting agendas, pre-reads, and notes; track action items and follow up until closed
- Screen and triage email and communications on behalf of executives, drafting responses and flagging items that need attention
- Plan and execute team offsites, onsite visits, and events end-to-end, from venue sourcing to on-site logistics
- Own expense reports, vendor invoices, and administrative workflows in tools like Expensify, Slack, Zoom, and Google Workspace
- Handle sensitive personnel, financial, and board-related materials with absolute discretion
What We Are Looking For
- 4-8 years of executive assistant or office coordination experience, ideally supporting C-level leaders in a fast-paced technology environment
- Expert-level proficiency with Google Workspace (Calendar, Gmail, Docs) and scheduling tools (Calendly, Vimcal, or similar)
- Demonstrated ability to manage multiple executives' priorities simultaneously without dropping details
- Strong written communication; able to draft polished correspondence on behalf of leadership
- High judgment and discretion with confidential information, including HR and financial matters
- Proactive, low-ego working style; comfortable operating with minimal direction and shifting priorities
- Bonus: experience supporting a distributed or remote-first team, event planning background, or familiarity with Notion, Airtable, or Okta admin tasks
