About The Role
The role supports senior executives at a fast-growing technology company, owning calendars, communications, travel, and cross-functional coordination so leadership time goes where it matters most.
This is not a task-checking role: it requires anticipating needs before they surface, managing competing priorities across time zones, and acting as a trusted operational partner in a high-velocity environment.
Key Responsibilities
- Manage complex, ever-changing calendars for one or more executives, resolving conflicts and protecting focus time across multiple time zones
- Coordinate internal and external meetings end-to-end: scheduling, agendas, pre-reads, video conferencing setup, and follow-ups on action items
- Book and manage domestic and international travel, including flights, hotels, ground transportation, and itinerary changes on short notice
- Screen and prioritize email and communications, drafting responses and flagging items that require executive attention
- Process expense reports in Concur and maintain accurate records of invoices, receipts, and vendor communications
- Plan and execute team offsites, board meetings, and company events, handling logistics, catering, and vendor coordination
- Maintain confidential documents, org charts, and internal wikis using Google Workspace, Notion, and Slack
What We Are Looking For
- 3-5 years of executive assistant, chief of staff, or office management experience, ideally supporting C-level or VP leaders
- Expert proficiency with Google Workspace, Slack, Zoom, and expense/travel platforms such as Concur or Navan
- Demonstrated ability to handle confidential information with absolute discretion and sound judgment
- Exceptional written communication and the ability to draft polished correspondence on behalf of executives
- Strong project-management instincts: comfortable juggling 10+ concurrent priorities with tight deadlines
- Bachelor's degree in business administration, communications, or a related field, or equivalent practical experience
- Bonus: experience supporting executives at a venture-backed startup, familiarity with Notion and Airtable, or prior remote-work coordination experience
