We are recruiting on behalf of a fast-growing technology company seeking a polished, highly organized, and discreet Executive Assistant to support a Co-Founder & Chief Operating Officer.
This is an excellent opportunity for a career EA with a background in venture capital, private equity, investment management, or a family office who enjoys working closely with a senior executive in a fast-paced, evolving environment. The ideal candidate will bring strong calendar and travel management skills, sound judgment, and the ability to anticipate needs while maintaining a high level of professionalism and discretion.
Key Responsibilities
- Executive Support: Provide comprehensive support to the Co-Founder & COO, including calendar management, scheduling, expenses, and day-to-day administrative coordination.
- Travel Management: Coordinate frequent domestic and international travel, including complex itineraries, accommodations, transportation, and last-minute changes. International travel is expected approximately 1-2 times per quarter, with East Coast travel approximately 1-2 times per quarter.
- Calendar Management: Manage a dynamic calendar with competing priorities, ensuring schedules are organized thoughtfully and efficiently.
- Executive Partnership: Develop a strong understanding of the executive's priorities and the broader business to proactively anticipate needs and keep key commitments moving forward.
- Stakeholder & Guest Coordination: Interact professionally with investors, customers, business partners, and other guests, helping ensure a polished experience.
- Administrative Support: Manage expenses and other administrative responsibilities while maintaining a high level of accuracy and confidentiality.
What We Are Looking For
- Industry Experience: Experience supporting executives within venture capital, private equity, investment management, or a family office is strongly preferred.
- Experience: Proven career experience as an Executive Assistant supporting a senior executive.
- Executive Support: Strong calendar, travel, expense management, and executive coordination experience.
- Professional Presence: Polished, articulate, and comfortable interacting with senior executives, investors, customers, and other high-level stakeholders.
- Discretion: Exceptional judgment and ability to handle sensitive business information with complete confidentiality.
- Proactive Approach: Anticipates needs, stays ahead of priorities, and takes ownership without requiring constant direction.
- Adaptability: Comfortable working in a fast-growing startup where priorities and responsibilities may evolve over time.
- Relationship Building: Warm and confident with a natural ability to interact with and host a wide range of guests.
Location & Culture
- Location: San Mateo, CA
- Work Structure: Hybrid or onsite, with a preference for being onsite as often as possible.
- Environment: Fast-paced, entrepreneurial, and collaborative, with close exposure to senior leadership and the broader business.
- Travel: Significant domestic and international travel coordination will be a core part of the role.
