Qualifications

  • Proficiency with Microsoft Office and/or Google Workspace.
  • Ability to coordinate calendars, travel, meetings, and administrative tasks efficiently.
  • Fluency in both English and Spanish is a must.

Responsibilities

  • Manage and maintain a busy executive calendar across multiple time zones.
  • Coordinate domestic and international travel, including itineraries.
  • Prepare and submit expense reports and track receipts.
  • Assist with meeting preparation, agendas, materials, conference rooms, and logistics.
  • Coordinate internal and external meetings and ensure arrangements are in place.
  • Handle confidential and sensitive information with discretion.
  • Provide general administrative support and proactively anticipate needs.
  • Support day-to-day administrative operations of the NY office.
  • Manage office supplies, equipment, deliveries, mail, and general office needs.
  • Coordinate with building management, vendors, and service providers.

Our client is looking for a temp to perm Executive Assistant/Office Manager:

This is a temp-to-perm opportunity for someone who enjoys being hands-on, thrives in a fast-paced environment, and can seamlessly balance executive support with general office administration. The ideal candidate is detail-oriented, resourceful, professional, and comfortable anticipating needs and taking ownership of tasks from start to finish.

Executive Support
  • Manage and maintain a busy executive calendar, including scheduling, rescheduling, and coordinating meetings across multiple time zones.
  • Coordinate domestic and international travel, including flights, hotels, transportation, and detailed itineraries.
  • Prepare and submit expense reports and track receipts and reimbursements.
  • Assist with meeting preparation, including agendas, materials, conference rooms, and logistics.
  • Coordinate internal and external meetings and ensure all necessary arrangements are in place.
  • Handle confidential and sensitive information with discretion.
  • Provide general administrative support and proactively anticipate the executive's needs.
Office Administration
  • Support the day-to-day administrative operations of the New York office.
  • Manage office supplies, equipment, deliveries, mail, and general office needs.
  • Coordinate with building management, vendors, and service providers as needed.
  • Help maintain an organized, professional, and welcoming office environment.
