We are recruiting on behalf of a high-profile, privately held organization seeking a polished, proactive, and highly organized Executive Assistant to serve as a trusted partner to a senior principal based in Austin. This is an exciting opportunity for an experienced EA who thrives in a complex, fast-paced environment and is comfortable operating with a high degree of ownership. The ideal candidate will bring exceptional judgment, discretion, adaptability, and the ability to anticipate needs before they arise.
Key Responsibilities
- Executive Support: Serve as a trusted partner to the principal, managing priorities, communications, commitments, and day-to-day logistics.
- Calendar & Travel Management: Manage a complex, multi-time-zone calendar and coordinate comprehensive domestic and international travel, adapting quickly as plans shift.
- Communications: Manage and triage the principal’s inbox, draft correspondence, coordinate follow-up, and determine what requires the principal’s attention.
- Executive Preparation: Prepare briefing materials, agendas, talking points, meeting notes, and background research for meetings, board engagements, and leadership reviews.
- Follow-Through: Track commitments, decisions, and action items to ensure timely follow-up and closure.
- Stakeholder Coordination: Serve as a key point of contact between the principal, internal teams, business leaders, advisors, and external partners.
- External Representation: Represent the principal with professionalism and discretion across written and verbal communications.
What We Are Looking For
- Experience: 6+ years of progressive executive support experience, including at least 2 years supporting a C-suite executive, founder, principal, or family office executive.
- Judgment: Exceptional ability to anticipate needs, prioritize effectively, and determine what requires escalation versus independent action.
- Organization: Highly organized with strong attention to detail and excellent follow-through.
- Composure: Comfortable managing shifting priorities and time-sensitive demands in a high-paced environment.
- Discretion: Proven ability to handle sensitive personal, financial, and business information with complete confidentiality.
- Global Experience: Experience supporting a leader with a multi-entity, multi-location, or international portfolio is strongly preferred.
