Qualifications

  • 12+ years of Executive Assistant experience, preferably supporting senior executives in financial services.
  • Experience supporting Managing Directors, Partners, or C-level executives.
  • Exceptional organizational, communication, and time management skills.
  • Ability to prioritize competing responsibilities in a fast-paced environment.
  • Demonstrated discretion and professionalism with confidential information.

Responsibilities

  • Manage complex executive calendars across multiple time zones with shifting priorities.
  • Coordinate domestic and international travel including itineraries, visas, and accommodations.
  • Organize internal and external meetings, conference calls, presentations, and events.
  • Prepare and process expense reports; monitor travel-related expenses.
  • Screen calls, manage executive correspondence, and liaise with senior stakeholders and partners.
  • Support special projects and administrative initiatives as needed.
  • Assist with occasional personal administrative tasks as required.
  • Ensure executives are prepared for meetings through proactive planning.

About the Opportunity

Our client is seeking a highly experienced Executive Assistant to support a senior executive leading a high-performing investment team. Key Responsibilities
  • Manage complex executive calendars across multiple time zones while balancing changing priorities.
  • Coordinate domestic and international travel, including detailed itineraries, visas, transportation, and accommodations.
  • Organize internal and external meetings, conference calls, presentations, and executive events.
  • Prepare and process expense reports and monitor travel-related expenses.
  • Screen calls, manage executive correspondence, and serve as a liaison with senior stakeholders, clients, and business partners.
  • Handle confidential information with the highest level of discretion and professionalism.
  • Support special projects, business events, and additional administrative initiatives.
  • Assist with occasional personal administrative tasks as needed.
  • Ensure executives are prepared for meetings through proactive planning and organization.
Qualifications
  • 12+ years of Executive Assistant experience, preferably supporting senior executives within investment banking, asset management, private equity, hedge funds, or financial services.
  • Demonstrated experience supporting Managing Directors, Partners, or C-level executives.
  • Exceptional organizational, communication, and time management skills.
  • Strong executive presence with excellent judgment and professionalism.
  • Ability to prioritize competing responsibilities in a fast-paced environment.
  • Proven ability to maintain strict confidentiality.
  • Advanced proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Experience using corporate travel and expense platforms such as Concur is preferred.
  • Bachelor's degree preferred.
