Responsibilities

  • Coordinate and organize meetings, including scheduling, sending invitations and reminders, preparing materials, and arranging catering when necessary.
  • Prepare agendas, attend meetings, and take accurate and detailed meeting minutes.
  • Manage office and departmental supply orders while ensuring cost-effective purchasing practices.
  • Provide administrative support, including drafting and editing correspondence, emails, memos, reports, and other communications on behalf of the executive team.
  • Maintain comprehensive, accurate, and organized records and files.
  • Perform basic accounting-related tasks, including invoice coding, expense report preparation, and charge reconciliation.
  • Maintain an efficient filing system and ensure all pertinent operational documents are properly organized and accessible.
  • Serve as a welcoming and professional resource for visitors.
  • Act as a primary point of contact for internal and external stakeholders.
  • Collaborate with the Corporate Team and facility staff to respond to requests and support organizational initiatives.
  • Handle sensitive and confidential information with the highest level of discretion.
  • Perform additional duties and special projects as assigned.
