Job summary

Community Health Partnership of Illinois seeks an organized Executive Assistant to provide comprehensive administrative support to the President, CEO, and senior leadership. You will manage calendars, coordinate meetings and travel arrangements, handle expense reporting, and assist with special projects with discretion.

Ideal candidates have 3–5+ years of executive assistant experience, preferably in healthcare, and strong Microsoft Office proficiency.

Responsibilities

  • Provide comprehensive administrative support to the President and CEO, the Board of Directors and senior leadership, including calendar management, meeting coordination, and travel arrangements.
  • Schedule Board and Board committee meetings, takes minutes and organizes board packets and board events.
  • Prioritize and manage incoming communications, ensuring timely follow-up and clear action items.
  • Prepare, proofread, and format correspondence, presentations, reports, and other business documents.
  • Coordinate meetings and events, including scheduling, agenda preparation, materials distribution, and note-taking when needed.
  • Track deadlines, manage task follow-up, and support project coordination across departments.
  • Maintain organized filing systems, records, and confidential information with discretion.
  • Serve as a point of contact between executives, internal teams, and external partners.
  • Assist with expense reporting, invoice processing, and other administrative workflows as assigned.
  • Identify opportunities to improve office processes and help implement efficient administrative practices.

Job description

Community Health Partnership of Illinois is seeking a highly organized and proactive professional to provide executive-level administrative support in a fast-paced environment. The ideal candidate is detail-oriented, organized, creative, resourceful, and able to manage multiple priorities while maintaining a high level of confidentiality and professionalism. This role plays a key part in supporting leadership, improving operational efficiency, and ensuring smooth day-to-day coordination.

Under the direction of senior leadership, the Executive Assistant provides comprehensive administrative and organizational support. This role includes managing complex calendars, coordinating meetings and events, and handling domestic travel arrangements. The Executive Assistant is on time, ensures meeting readiness, manages expense reporting, and supports special projects as needed. The position requires interaction with a diverse group of internal stakeholders across all levels and locations, as well as external partners and visitors, while maintaining professionalism and confidentiality at all times.

Qualifications:

Education

High School Diploma or equivalent vocational or technical training.

Bachelor's degree or Technical College degree a plus.

Experience

  • 3-5+ years' executive assistant support experience preferably in within healthcare industry
