Job summary

Barrow Brain and Spine is seeking a Lead Medical Office Administrator to manage daily clinic operations, scheduling, and patient flow in a physician-owned neurosurgery practice in Arizona. You will coordinate with physicians, Care Coordinators, and hospital departments to ensure seamless patient experiences and accurate documentation.

Experience in a medical setting with EMR proficiency is essential, along with strong communication and organizational skills.

Qualifications

• Excellent verbal and written communication skills.
• Education: High School Diploma required. Bachelor's Degree a plus.
• Experience: 2 years of Lead experience in medical setting required.
• Strong organizational skills and ability to prioritize.
• Passionate about creating a superior patient experience and fostering a culture of excellence.

Responsibilities

• Registers new patients in EMR prior to scheduling appointments and collects demographic and insurance information.
• Oversees daily workflow of physician’s office and provides direct support to physician and Care Coordinator.
• Manages staff schedules, approves timesheets and PTO per BBS guidelines.
• Schedules physician’s personal, clinical, and surgical appointments and coordinates travel.
• Ensures medical reports are available to physicians before patient arrival.
• Triages telephone calls when Care Coordinator is unavailable.
• Obtains insurance pre-authorization for surgeries according to hospital guidelines.
• Trains new Care Coordinators on registration, scheduling, vitals, rooming, orders, and clinic workflow.
