Job summary

Cogent seeks a Service Coordinator for its Tulsa, OK facility to support shop service teams and customers. The role emphasizes coordinating orders, acquiring project documents, and ensuring timely provisioning of parts and tools.

An associate degree and strong communication are preferred to excel in a collaborative, ownership-driven environment. You'll use Salesforce daily, manage vendor quotes, and help schedule technician work while maintaining high service standards.

Qualifications

• Associate’s degree or vocational degree in mechanics, industrial engineering, or construction management or equivalent experience.
• Ability to perform tasks with high attention to detail and accuracy.
• Ability to work both independently and in a team-oriented, collaborative environment.
• Ability to elicit cooperation and defuse tension in a customer service environment.
• Ability to prioritize and execute tasks in a high-pressure environment.
• Analytical and problem-solving capabilities to adapt to shifting priorities.
• Excellent verbal and written communication skills.
• Excellent customer service, interpersonal, and phone etiquette skills.
• Proficiency in MS Office, including Word, Excel, Gmail, Google Drive, Salesforce.

Responsibilities

• Create work orders for shop technicians to perform work on equipment.
• Acquire documents needed for technicians (parts list, exploded diagram).
• Review inspections and prepare reports for customer review.
• Obtain pricing from vendors and subcontractors for repair/replacement pricing.
• Procure all parts, equipment, and tools for each job.
• Track purchase orders and forecast part arrivals.
• Schedule jobs with Shop Service Manager.
• Assist Service Manager with change orders or modifications to scope.
• Update customer and sales team on job status.
• Work in Salesforce daily, handling Shop Service requests.
• Attend on-site and virtual training; travel may be required.
• Coordinate work of sales and service to ensure orders are managed with excellence.
• Monitor quality from planning to completion.
• Process warranties and returns to vendors promptly.
• Maintain solid relationships with internal and external customers.
• Provide excellent customer service daily.
• Complete all necessary safety training.
