Job summary

Greenhouse Agency is seeking a Director of Operations to lead delivery operations for a remote team serving financial institutions and fintech clients. You will manage capacity planning, intake gates, and multi-client schedules while building a scalable delivery function.

The role partners with the CEO to drive growth and efficiency across onboarding, CRM configurations, and integrations. Ideal candidates bring proven delivery operations experience in digital services, strong HubSpot

Qualifications

• Proven delivery operations experience in a digital agency, consultancy, or professional services
• HubSpot implementation expertise across onboarding, CRM configuration, and integrations
• Hands-on experience building capacity plans, WIP limits, intake gates, and production schedules
• Experience introducing roles, ownership, and accountability in a founder-led, high-trust business
• HubSpot Solutions Partner or comparable CRM implementation agency experience
• Banking/fintech experience with regulated environments and timelines

Responsibilities

• Own capacity, sequencing, delivery dates, and client escalations across all engagements
• Serve as the primary client contact on complex implementations while project management is redesigned
• Stabilize workloads by resequencing commitments, resetting expectations, and relieving overbooked roles
• Establish an intake gate that confirms capacity before committing start dates
• Forecast booked hours against capacity by role, planning weekly with sustainable workloads
• Create milestone-based production plans with client dependencies and holiday buffers
• Build accountability charts and role scorecards for each engagement
• Define project functions and create delivery pods pairing solution architects with CRM admins
• Hire, coach, and develop the delivery team
• Redesign ClickUp around the client journey and delivery tiers; refine estimates
• Restructure Harvest with budget alerts and margin reporting by client/service line
• Protect fixed-fee margins via change orders and scoping for undocumented integrations
• Build dashboards for visibility at each business level
• Lead weekly scorecard meetings and CEO reviews; drive quarterly planning
