This position will provide high-level administrative support to department leadership while coordinating day-to-day office functions, employee onboarding, contractor documentation, meetings, projects, and departmental processes.
Pay: $30.00–$40.00 per hour

Job Title: Department Coordinator
Responsibilities Include:
Provide administrative and executive support to department Vice President(s) and other leadership team members.
Coordinate calendars, meetings, travel arrangements, phone coverage, filing, correspondence, and document distribution.
Develop and improve administrative processes to increase departmental efficiency.
Assist with general office management, including ordering supplies, managing mail, coordinating office equipment, and working with internal departments or outside vendors.
Coordinate new-hire onboarding, including workspace preparation, training schedules, equipment procurement, and related administrative needs.
Maintain contractor documentation, including agency agreements, timecards, purchase orders, training records, and invoice verification.
Maintain employee and departmental records, including training and personnel files.
Coordinate departmental meetings, luncheons, outings, off-site meetings, and special events.
Partner with Payroll, Human Resources, Facilities, Accounting, and other departments to resolve administrative or employee-related issues.
Provide administrative and project support for departmental initiatives as needed.
Maintain product development and project files.
Identify opportunities to streamline processes and improve accuracy and efficiency.
Qualifications Include:
Strong proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
Previous administrative, office coordination, or executive support experience preferred.
Excellent written and verbal communication skills.
Strong organizational skills with the ability to manage multiple priorities.
Proactive, detail-oriented, and comfortable working independently.
Ability to interact professionally with employees, leadership, vendors, and other departments.
Positive, enthusiastic attitude and strong problem-solving skills.
Pay Details: $30.00 to $40.00 per hour
