Job summary

Aire Serv in Jacksonville, IL is seeking a Customer Experience & Sales Coordinator who will own the customer journey from lead to completed job. This on-site role drives revenue by converting leads, coordinating scheduling, and ensuring flawless handoffs between sales and installation teams.

You will manage CRM entries (ServiceTitan), respond quickly to inquiries, and maintain proactive follow-ups to keep the schedule full.

Qualifications

• Experience with CRM systems and ServiceTitan preferred.
• Strong written and verbal communication skills.
• Ability to manage multiple priorities with urgency.
• Customer service or inside sales experience.

Responsibilities

• Respond to incoming leads quickly and convert them into scheduled appointments.
• Manage and organize all open opportunities in our CRM (ServiceTitan).
• Assign and schedule leads based on availability and priority.
• Ensure no lead or opportunity gets missed.
• Follow up on unsold estimates and stalled opportunities.
• Re-engage past leads and help recover lost business.
• Support outbound efforts to keep the schedule full.
• Maintain consistent communication to move customers toward decisions.
• Act as the main point of contact between customers, sales, and install teams.
• Confirm appointments and set clear expectations for customers.
• Support sold-job communication and ensure smooth handoffs.
• Resolve questions and keep customers informed every step of the way.
• Keep accurate notes, job details, and communication in CRM.
• Track pipeline activity, follow-ups, and appointment status.
• Identify breakdowns and fix them before they become problems.
• Work closely with leadership to improve systems and results.
