We are seeking an experienced Recruiting Coordinator to support a fast-paced, high-volume recruiting organization. This role will be heavily focused on end-to-end interview scheduling and requires someone who is highly organized, adaptable, and comfortable managing multiple priorities at once.
The ideal candidate has direct Recruiting Coordinator experience, strong communication skills, and the ability to stay calm and solution-oriented when schedules change quickly.
Key Responsibilities
- Own end-to-end interview scheduling across multiple recruiting pipelines, representing approximately 80–90% of the role.
- Coordinate high-volume interview schedules using ATS and scheduling tools.
- Manage complex and highly customized scheduling for Research and Executive-level recruiting pipelines.
- Support hiring across Engineering, Product, Business, Go-to-Market (GTM), and non-technical functions.
- Partner closely with recruiters, hiring managers, executive assistants, and executive business partners.
- Communicate clearly and professionally with candidates, interviewers, and internal stakeholders.
- Troubleshoot scheduling conflicts, interviewer declines, last‑minute changes, and other scheduling challenges.
- Manage time‑sensitive “fire drills” with calm urgency, sound judgment, and strong problem‑solving skills.
- Coordinate both virtual and occasional in‑person interviews depending on the hiring pipeline.
- Maintain accurate scheduling documentation, interview details, and candidate records.
- Provide a polished and welcoming candidate experience throughout the interview process, including virtual candidate greetings and support.
Required Qualifications
- Proven experience working specifically as a Recruiting Coordinator.
- Experience managing high‑volume interview scheduling in a fast‑paced recruiting environment.
- Exceptional organizational skills and the ability to manage multiple competing priorities.
- Strong written and verbal communication skills.
- Ability to remain calm, flexible, and solutions‑oriented when schedules change rapidly.
- Strong proficiency with Slack and experience using it extensively in an enterprise environment.
- Experience partnering with executive stakeholders and/or Executive Assistants.
- Ability to independently manage workload, prioritize tasks, and self‑schedule.
- Strong attention to detail and ownership of the candidate experience.
