Qualifications

  • Coordinate communication with project managers, field teams, subcontractors, vendors, clients, and accounting.
  • Maintain accurate project documentation and support financial tracking, billing coordination, and compliance requirements.
  • 2–4 years of experience in construction administration or related field.
  • Experience with commercial construction projects is preferred.

Responsibilities

  • Support project managers, superintendents, and field teams with administrative coordination across all phases of commercial construction projects.
  • Prepare, process, track, and organize contracts, subcontracts, purchase orders, change orders, RFIs, submittals, drawings, specifications, and project correspondence.
  • Coordinate with subcontractors, vendors, clients, internal teams, and accounting to gather documentation, approvals, updates, invoices, and billing information.
  • Maintain project schedules, logs, status reports, meeting materials, meeting minutes, and PM system records.
  • Monitor required contract, compliance, insurance, safety, and closeout documentation.
  • Assist with budget tracking, invoice processing, project billing coordination, reports, and follow-up items for meetings.

Job Summary

A growing commercial construction team in Seattle, WA is seeking a Construction Project Administrator to support project managers, superintendents, field teams, subcontractors, vendors, clients, and accounting throughout the full project lifecycle.

This direct hire role is ideal for an organized, detail-oriented administrative professional who enjoys being close to the action on active construction projects. You will help keep contracts, change orders, invoices, project documentation, schedules, compliance records, and closeout materials accurate, current, and moving forward.

The work environment is collaborative, fast-paced, and team-oriented, with strong visibility into project operations and regular interaction with experienced construction professionals. Key Responsibilities
  • - Support project managers, superintendents, and field teams with administrative coordination across all phases of commercial construction projects.
  • - Prepare, process, track, and organize contracts, subcontracts, purchase orders, change orders, RFIs, submittals, drawings, specifications, and project correspondence.
  • - Coordinate with subcontractors, vendors, clients, internal teams, and accounting to gather documentation, approvals, updates, invoices, and billing information.
  • - Maintain project schedules, logs, status reports, meeting materials, meeting minutes, and project management system records.
  • - Monitor required contract, compliance, insurance, safety, and closeout documentation, including warranties and operation and maintenance manuals.
  • - Assist with budget tracking, invoice processing, project billing coordination, reports, presentations, and follow-up items for internal and client meetings.
Compensation and Benefits
  • - Salary range: $63,986 to $95,524 per year.
  • - Job type: Direct hire.

Required Qualifications and Skills
  • - Provide administrative support for commercial construction projects from initial documentation through closeout.
  • - Track contracts, change orders, invoices, RFIs, submittals, schedules, logs, and project records.
  • - Coordinate communication and follow-up with project managers, field teams, subcontractors, vendors, clients, and accounting.
  • - Maintain accurate project documentation and support financial tracking, billing coordination, and compliance requirements.
  • - 2 to 4 years of experience in construction administration, project coordination, project support, or a related construction environment.
  • - Experience supporting commercial construction projects is preferred.
  • - Strong organizational, multitasking, and deadline management skills.
  • - Excellent written and verbal communication skills.
  • - High attention to detail with contracts, project documentation, invoices, compliance items, and financial tracking.
  • - Ability to identify missing information, discrepancies, and open items, then follow through to resolution.
  • - Proficiency with Microsoft Office, especially Excel and Outlook.
  • - Familiarity with construction management software such as Procore, Bluebeam, or Primavera.
  • - Ability to work effectively with project managers, superintendents, field personnel, subcontractors, vendors, clients, and accounting teams.
  • - Proactive approach to communication, follow-up, problem-solving, and keeping project details organized.
Preferred Qualifications
  • - Prior experience in commercial construction administration or project coordination.
  • - Experience using Procore, Bluebeam, Primavera, or similar construction management platforms.
  • - Familiarity with project closeout packages, warranties, operation and maintenance manuals, and construction compliance documentation.
  • - Experience coordinating with accounting teams on invoices, billing, purchase orders, and budget tracking.
