Job summary

Fourmile Veterinary Clinic seeks a friendly veterinary receptionist to be the primary contact for clients and their pets. You will balance administrative precision with warmth across front-desk interactions in a clinical setting.

You will manage high-volume scheduling, EMR entries, payments, and patient flow while supporting veterinarians and staff. The role emphasizes compassion, clear communication, and professional handling of sensitive situations.

Qualifications

• Minimum 1 year of experience as a veterinary receptionist.
• Experience with veterinary practice management software; Cornerstone, Avimark, ImproMed, eVetPractice, or ezyVet preferred.
• Knowledge of veterinary terminology, vaccination protocols, and basic diagnostic procedures.
• Proficiency in scheduling, multi-line phone management, medical records management, and payment processing.
• Proven customer service skills with the ability to manage high-volume client relations with composure and accuracy.
• Strong verbal and written communication, including active listening and conflict resolution.
• Comfortable handling animals of varying sizes and temperaments, including fearful or reactive patients.

Responsibilities

• Greet and check in clients and patients, verify and update medical records, and confirm appointment details using practice management software.
• Answer and manage a multi-line telephone system, responding to inquiries regarding appointment scheduling, prescription refills, vaccination records, and general hospital information.
• Perform client check-out, including processing payments, posting charges, explaining invoices, and scheduling follow-up appointments.
• Communicate medical information, diagnoses, and care instructions accurately and compassionately, including in emotionally sensitive situations.
• Maintain accurate electronic medical records (EMR) and ensure timely data entry in the veterinary PIMS.
• Coordinate with veterinarians, veterinary technicians, and support staff to relay client communications and flag urgent cases.
• Maintain cleanliness and organization of the reception area and waiting room to ensure a positive client experience.
