Job summary

It’s A Secret Med Spa in Scottsdale, AZ is seeking a Client Concierge to warmly greet clients in person and over the phone, provide service education, and support front desk duties. The role includes scheduling, POS management, and maintaining a professional, organized space.

The ideal candidate has strong communication skills, can multi-task, and is flexible for weekend shifts. Prior med spa or medical office experience is preferred and confidentiality is essential.

• Minimum 1 year of customer service experience.

Responsibilities

• Warmly greeting clients in person and over the phone.
• Manage front desk duties including check-in/out, answering phone calls, greeting clients, overseeing inventory counts, and keeping supplies stocked.
• Maintain a clean and professional environment throughout the facility.
• Assist providers and managers with client scheduling and maintaining the appointment books.
• Comply with all company policies and procedures to ensure streamlined processes within the location.
• Ensure POS system is managed accurately with all client and employee information.

A Day in the Life of the Client Concierge

• Warmly greeting clients in person and over the phone. Providing basic knowledge and education about our wide variety of services.
• Manage front desk duties such as checking patients in/out, answering phone calls, greeting clients, overseeing inventory counts, and keeping supplies fully stocked while ensuring a positive and warm experience for our clients
• Maintain a clean and professional environment throughout the facility
• Assistant providers and managers with client scheduling and maintaining the appointment books.
• Comply with all company policies and procedures to ensure streamlined processes within the location
• Ensure POS system is managed effectively and accurately with all client appointment and employee information added.

Required Skills, Qualifications, and Experience

• Previous customer service experience (1 year)
• Flexible schedule with the ability to work weekends
• Previous experience working in a med spa or medical office preferred
• Excellent written and verbal communication skills
• Ability to communicate with proper etiquette
• Ability to multi-task while being attentive to clients and remaining flexible to the needs of the business
• Ability to work as part of a team and take initiative
• Enthusiastic, friendly and energetic personality with a genuine desire to provide outstanding service
• Must Maintain patient/client confidentiality in accordance with HIPAA regulations and company policy
• Must maintain a high level of integrity with a strong ethical foundation
• Must have sound judgment, problem solving, and decision-making skills
• Must be able to sit or stand for long periods of time
• Must be able to reach above shoulder height, crawl, kneel, and push/pull up 50 lbs.
• Must have a working knowledge of Microsoft applications
• Bilingual preference given
