Job summary

It’s A Secret Med Spa in San Antonio, TX is seeking a Client Concierge to warmly greet clients, guide them on services, and support the front desk with scheduling and education.

You will assist providers, maintain an organized appointment book, ensure a clean, welcoming environment, and handle POS entries while upholding HIPAA confidentiality and a high level of professionalism.

Qualifications

• 1 year of customer service experience required.
• Flexible schedule with ability to work weekends.
• Prior experience in a med spa or medical office preferred.
• Excellent written and verbal communication skills.
• Ability to maintain HIPAA confidentiality and handle sensitive information.
• Strong integrity and sound judgment in a fast-paced environment.
• Comfort with sitting or standing for long periods; able to lift up to 50 lbs.
• Proficiency with Microsoft Office applications.

Responsibilities

• Greet clients in person and over the phone, and provide basic information about services.
• Manage front desk duties: check-in/out, answer calls, greet clients, oversee inventory, stock supplies.
• Maintain a clean, professional environment throughout the facility.
• Assist providers and managers with client scheduling and appointment books.
• Ensure policies are followed to streamline location operations.
• Accurately manage POS system and input client and employee data.

A Day in the Life of the Client Concierge

• Warmly greeting clients in person and over the phone. Providing basic knowledge and education about our wide variety of services.
• Manage front desk duties such as checking patients in/out, answering phone calls, greeting clients, overseeing inventory counts, and keeping supplies fully stocked while ensuring a positive and warm experience for our clients
• Maintain a clean and professional environment throughout the facility
• Assistant providers and managers with client scheduling and maintaining the appointment books.
• Comply with all company policies and procedures to ensure streamlined processes within the location
• Ensure POS system is managed effectively and accurately with all client appointment and employee information added.

Required Skills, Qualifications, and Experience

• Previous customer service experience (1 year)
• Flexible schedule with the ability to work weekends
• Previous experience working in a med spa or medical office preferred
• Excellent written and verbal communication skills
• Ability to communicate with proper etiquette
• Ability to multi-task while being attentive to clients and remaining flexible to the needs of the business
• Ability to work as part of a team and take initiative
• Enthusiastic, friendly and energetic personality with a genuine desire to provide outstanding service
• Must Maintain patient/client confidentiality in accordance with HIPAA regulations and company policy
• Must maintain a high level of integrity with a strong ethical foundation
• Must have sound judgment, problem solving, and decision-making skills
• Must be able to sit or stand for long periods of time
• Must be able to reach above shoulder height, crawl, kneel, and push/pull up 50 lbs.
