Job summary

Stafford Veterinary Hospital is seeking a Client Services Specialist to join our reception team. You will greet clients, determine needs, and manage check-in/out with a professional and courteous manner.

You will schedule appointments for vaccinations, rechecks, surgeries, and other services, and assist with client reminders. You’ll also handle sales, invoicing, and chart maintenance in a fast-paced hospital environment.

Qualifications

• Greeting clients and determining needs, and completing check-in/check-out.
• Following policy/procedures in scheduling ill/injured patients and vaccinations.
• Assisting with client reminders for annual health checks and other services.
• Managing patient charts and updating information as needed.
• Handling product inquiries and basic over‑the‑counter sales.

Responsibilities

• Greet clients, determine needs, and complete check-in/check-out.
• Schedule appointments for treatments, vaccinations, and procedures according to policy.
• Assist with client reminders and follow-up communications.
• Pull/prepare patient charts and update information.
• Provide product knowledge and assist clients with purchases.
• Invoice clients, collect fees, and process payments per hospital policy.
• Assist in emergencies and communicate transport instructions to staff.
• Maintain waiting area and re-stock supplies and educational materials.
• Prepare welcome letters and new client packets for doctors.
