Job summary

Heartline Staffing is seeking a Claims Manager / Estimator to join our on-site team in Walled Lake, Michigan. You will write accurate property repair estimates using Xactimate based on on-site inspections for water, fire, hail, wind, and other disaster-related claims, coordinating with adjusters and TPAs.

This hands-on role requires strong communication, a detail-oriented mindset, and the ability to support owners through stressful claims while adhering to program guidelines and meeting tight

Qualifications

• Prior experience using Xactimate is required.
• High school diploma or GED is required.
• Valid driver’s license with clean driving record required.
• Proficiency with smartphones, databases, and Microsoft Office.
• Excellent written communication and empathetic customer service.
• Willingness to participate in a 24-hour on-call rotation every 12–14 weeks.
• IICRC certifications preferred.

Responsibilities

• Inspect sites and create repair estimates; review peer estimates and approval requests.
• Lead kick-off meetings with accounting and project management.
• Complete customer handoffs, explain work authorizations, collect signed paperwork.
• Review financial documents, collect deductibles, and explain estimates to adjusters and TPAs.
• Handle emergencies such as tree removal, tarping; guide clients by phone.
• Use Matterport 3D scanning and log updates in DASH, Xactanalysis, and TPA databases.
• Participate in the 24-hour emergency on-call rotation.

POSITION OVERVIEW

• Write accurate property repair estimates in Xactimate based on on-site inspections for water, fire, hail, wind, and other disaster-related claims
• Manage Third-Party Administrator (TPA) losses, follow program guidelines, and serve as a consultant to insurance carriers
• Support property owners through high-stress situations with clear communication and empathy
• Work within a primary geographic territory, crossing territories as demand requires

Requirements

• Prior experience using Xactimate software REQUIRED
• High school diploma or GED REQUIRED
• Valid driver's license with a satisfactory driving record REQUIRED
• Professional familiarity with smartphone applications, databases, and Microsoft Office (Word, Excel, Outlook) REQUIRED
• Exceptional written communication and empathetic customer service skills
• Availability for a 24-hour on-call rotation once every 12–14 weeks, including evenings and weekends
• Xactimate Level 1 or Level 2 certification preferred
• Understanding of insurance carrier requirements and TPA program guidelines preferred
• IICRC property restoration certifications preferred
