Job summary

Best Point Education & Behavioral Health is seeking a detail-oriented Intake Specialist to serve as a key connection for children, families, adults, referral partners, and clinical teams in Hamilton or Middletown, OH.

The role involves coordinating referrals, verifying insurance, scheduling appointments, and maintaining accurate records to guide clients through the intake process from start to finish.

Qualifications

• High school diploma or equivalent.
• Strong customer service, communication, and organizational skills.
• Ability to manage multiple priorities while maintaining accuracy and attention to detail.
• Experience handling confidential information in a professional setting.
• At least 2 years of experience in a healthcare, behavioral health, medical office, or related setting preferred.
• Experience with insurance verification, benefits coordination, referrals, scheduling, or patient intake preferred.
• Familiarity with EHR systems, scheduling software, and electronic documentation processes preferred.

Responsibilities

• Coordinate and process referrals from providers, hospitals, schools, community agencies, and other referral sources.
• Serve as a primary point of contact for clients, families, providers, and community partners throughout the intake and referral process.
• Open new client records and maintain accurate demographic, insurance, and payer information in electronic health record (EHR) systems.
• Help ensure referrals move efficiently from initial contact through scheduled services.
• Schedule intake appointments, medication management appointments, and other clinical services.
• Communicate referral updates, documentation needs, and appointment information to clinical and administrative teams.
• Assist with appointment scheduling and client check-in processes.
• Collect co-payments when applicable.
• Help clients and families understand next steps in the intake process.
• Verify insurance coverage and maintain accurate financial payer information.
• Support service authorization and billing readiness by ensuring required information is complete and accurate.
